Supplier Comparison — Frequently Asked Questions

How many suppliers can I compare?

The Excel template is designed to compare up to five supplier quotations in one evaluation.

Does the spreadsheet automatically rank suppliers?

Yes. It calculates price ranking, lead-time scoring, weighted overall scores and final supplier rankings.

Does the cheapest supplier automatically win?

No. Price is an important part of the evaluation, but the overall score also considers lead time, specification compliance and other supplier factors.

Can I change the evaluation weights?

Yes. The weighting cells can be adjusted to match your organization's purchasing priorities. Make sure the total weighting remains 100%.

What does specification compliance mean?

It represents how closely the supplier's quotation meets the requested technical or commercial specification. The template accepts a compliance value from 0 to 100%.

What does RECOMMENDED mean?

The supplier with the highest calculated overall score is marked RECOMMENDED, while the second-ranked supplier is marked ALTERNATE.

Should I select a supplier only from the calculated score?

No. The score should support the evaluation rather than replace procurement judgment, mandatory compliance checks, budget approval or your organization's purchasing policy.
